Dance Hosts Duties

 

 

 

 

 

 

      The following is a suggested list of task that the Host couple should consider

when serving a Hosts.  Be aware that under all circumstances, not all of the listed

tasks will be required and/or other task not listed might be necessary.  Lesson

will require a minimum of the tasks and those tasks are identified with an asterisk (*). 

There is no specific order in some of the task.  Do them in an order that works

best for you.  Please send any correction, deletions, additions and etc. to Lonnie.

 

Purchase Treats and/or Door prizes if/as required

Usually WWSDC provides table snacks and small finger foods such as (but not limited to)

candy.  On special occasions, door prizes are given.

 

 

Open Hall

 

*Keys

Contact a club officer to obtain the necessary keys.  The Grange Hall key will open the

front, kitchen and back doors. Place the key on the microwave located on the back counter

during the dance and return it before leaving.  In addition to the Grange Hall key, you need

the key for the WWSDC cupboard on the west end of the dining area.

 

When to Begin the Hall Set-up

*Your arrival time at the Grange depends upon several factors.  The main factor is the

time to brew coffee – expect 60 minutes to brew a full pot of coffee.

Another factor is the amount of time the decorations you select will take to set up.  Dances

begin at 7:30 p.m. and you can expect to see dancers arrive 15 to 20 minutes before.

 

*Turn on Lights

Entryway lights are next to the telephone.

Main hall lights are on the eastern-most post between the dining area and dance floor.

Dining area lights are on the wall next to the men’s room door.

Restroom lights are on the wall next to both restroom doors.

Kitchen lights are on the wall behind and to the right of the sink when facing the wall.

Stage lights are in the closet to the left of the stage stairs. The second switch is for the

attic fan.

 

*Open Fire Doors

All doors with deadbolts must be unlocked, (front entrance, kitchen and back doors)

per fire code.

 

Place Signs at Driveway Entrance

The two “A” frame signs are in the storage shed on the south side of the Grange building. 

These are set up on either side at the driveway entrance prior to the arrival of guests. 

After 10:00 p.m. the signs may be returned to the shed.  The signs are not extremely heavy

but are not light either.  Use caution to avoid injury.  You might consider using an automobile

to move the signs.

 

*Prepare Hall for Dance/Event

Most supplies are in the WWSDC locked cupboard on the interior west wall of the dining

area.  Other supplies are found in the storage shed including WWSDC decorations.  There

is a tap on light located to the right of the storage shed door (as you enter).  There is also

an electrical extension cord attached to a light at the left of the door which is plugged into

the plug inside the Grange building to the right of the south door (as you enter).

 

*Heat

It is impossible to satisfy all dancers’ ideas of how warm or cool the hall should be. 

Therefore use your best judgment to set the thermostat. Remember that several squares

of dancers create a lot of heat.  It is easier to warm than to cool the hall.

 

*Start Coffee

Use the larger of the two coffee pots for coffee.  It could take up to 60 minutes for the

coffee to brew, depending upon the amount being made.  On those dances when you

expect a large turnout, make a full pot.  The coffee pot should be located on the back

counter near the vending machine.  Place the pot on the metal drip catcher.  Periodically

 throughout the evening, check the coffee pot to make sure it is not running out.  If you are

getting low, fill the thermos servers from the back cupboard with the remaining coffee and

make a new pot.  Estimate the amount to make in a second pot.

 

Start Hot Water

Use the smaller of the two coffee pots for hot water.  Locate this pot next to the coffee pot. 

It does not have a metal drip catcher.  The hot water pot has an old metal knife in it.  After

filling the pot with water, place the knife in the indentation in the bottom of the pot.  Without

the knife it has on occasion failed to heat.  This water is for those who desire tea. 

Periodically throughout the evening, check the hot water pot to make sure you are not

running out.  If you are getting low fill one of the thermos servers from the back cupboard

with the remaining hot water and make a new pot.

*For lessons, use the coffee maker for hot water.  Turn the pot on allowing to

get warm to the touch.  The switch is a "rocker" switch and  is located on the

right rear about 1/3 of the way down from the top  and then place an empty

carafe on the bottom hot plate and fill the reservoir with the other.

 

*Fill Water Cooler

Place the water cooler on the west end of the front counter on the metal “drip catcher.” Fill

the cooler with water.  There are plastic containers in the refrigerator freezer with ice in

them.  Place the ice from the container(s) in the cooler.  Refill the ice containers and return

to the freezer. Periodically throughout the evening, check the water cooler to make sure

you do not run out.

 

*Coffee and Water Cups

Place a supply of the insulted cups alongside the coffee/tea pots and the water cooler. 

Place the “Sharpie” pens alongside the cooler.  Periodically throughout the evening,

check the supply of cups to make sure you are not running out.

 

*Set Out Condiments

In the back cupboard find a supply of sugar, creamer, stir sticks, tea and other condiments

related to coffee and tea service.  Periodically throughout the evening, check the

condiments to make sure you are not running out.

 

*Set Out Napkins, Plates, Knives and Forks if/as required

In the back cupboard you will also find a supply of napkins, plates, plastic knives, forks and

spoons on the nearest (to the kitchen) end of the center counter.  Periodically throughout

the evening, check the supply of napkins, Plates, knives and forks to make sure you are

not running out.  If you are running low, get additional from the back cupboard.

 

Remove Chairs from Tables and Place on Floor if Necessary


 

Decorate Hall

 

Check Storage Shed for Decorations

The WWSDC has a good supply of decorations for many of the special dances we hold. 

Before you purchase new, check the storage shed for decorations you might be able to

use.  Try to be creative.  Use your imagination.

 

No Holes in the Grange building Walls

The Grange has a very strict policy about making holes in the woodwork and/or walls. 

In short, don’t make any holes of any type.

 

Prepare Entrance for Dancers

There is a table and chair at the entrance for the cashier who takes the donations for the

dance.  The cash box and sign stating the donation amounts are in the back cupboard. 

Sign-in sheets for club members and visitors are in the blue file folders located on the

bottom left cupboard door.  There is approximately $40.00 in the cash box.  There are ink

pens in the box also.

 

 

Counter and Table Dimensions

The dimensions of the counter and tables are:

Counter - 30" x 174˝"

 

9 tables 30" x 72"

 

4 tables 40" x 98˝"

 

Split-the-Pot Tickets

In the back cupboard you will find a roll of raffle tickets and a plastic “fish” bowl.  These

tickets are used for the “split-the-pot” drawing.  Usually the pot is split in half, one half

going to the winner of the drawing and the other to the WWSDC.  Sometimes, when the

pot is large, it may be split more than two ways.  In all cases, half will go to the WWSDC

and the other half is divided between the dancers.

 

*Lessons use sign-in sheets only

Sign-in sheets for club members and students are in the blue file folders located on the

bottom left of the back cupboard door.

 

Greeters

One couple should be stationed at the front door to greet the dancers as they arrive and

make all dancers feel welcome.  Remember to smile.  If congestion slows the dancers’

ability to enter, a greeter should, as unobtrusively as possible, assist those entering to

clear the entry way.  Under no circumstance should those entering the hall feel that they

are being “hurried” along.

 

 

Pot Luck

 

Check Refrigerator for Room to Place Pot Luck Items

Sometimes other users of the hall leave items in the refrigerator and it may become

necessary to remove some items so we can use the refrigerator for our food items. 

Only throw items away IF you need the space.  Please be selective in what you throw away.

 

Accept Food for Pot Luck

Usually only club members will bring food for a Pot Luck. Sometimes, visitors will bring

food.  The greeters should accept the food, thank the visitor for bringing it and take it to

the kitchen.

 

Refrigerate Necessary Items

Make sure that food that needs refrigeration is placed in the refrigerator. This will

occasionally require creative stacking.

 

Pot Luck Food

The hosts should keep an eye on the amount of food coming in as compared to the number

of dancers.  If it appears that there is insufficient food to serve the dancers, someone

should go to a local market to purchase (at club expense) additional foods.

 

Prepare and Serve Pot Luck Food

Determine if the Pot Luck will be served during break or the dance (grazing style).

Regardless, the Pot Luck begins between 9:00 and 9:30 p.m.

 

Keep Food Items Replenished as Necessary

Observe food usage and replenish dishes as required.

 

Consolidate Food Items as Possible

Observe and consolidate like dishes.

 

Remove and Wash Empty Dishes as Necessary

As dishes empty, remove dishes from the serving counter, wash and dry them.

 

Prepare Left over Food to be Taken Home

If, at the end of the evening, food remains, prepare it as best you can to be sent home.

Set clean dishes on the end of the center counter nearest to the kitchen.

 

 

Clean up

Reme-ber dancing comes first.

 

 When dance is over:

  *Empty, clean and dry Coffee Pot, Water Cooler and Hot Water Pot and return.

  *Empty and un-plug the Grange coffee pot.

  *Put napkins, plates, knives and forks away.

  *Bus the tables of empty cups, plates and trash - be careful not to throw out something of value.

    Remove all decorations. If reusable, place them in a container on a shelf in the storage shed.

  *Place chairs upside down on the tables.

  *Dust Mop the dance and dining room floors. Dust mops are found in the entry way closet..

 

 After Moping

         *Return chairs to where they were, tables or floor, when you arrived.

          Vacuum entryway carpet and the dust mops.  The vacuum is in the entry way closet.

         *Empty waste baskets from both restrooms.

         *Empty garbage can. 

         *Replace liner if necessary.  Replacements are in the small sink to the right of the

          kitchen door. 

         *Take home soiled towels, wash and return them the next time you come to the Grange.

         *Lock WWSDC cupboard.

         *Lock kitchen and back doors.

         *Return thermostat to 55 degrees.

         *Turn out the lights.

         *Make sure that the attic fan is off.

         *Return storage shed Grange building key.

         *Lock shed.

         *Lock the front door.
