Wagon Wheel Square Dance Club

Membership Meeting

August 17, 2008

President, Lonnie Sewell, brought meeting to order at 4:30 p.m., after lunch was served at the Annual Picnic held at the Peterson’s home.

Approval of previous Membership Meeting Minutes was postponed as copy was not available at meeting time.

Presidents Report:  Dues for the year are due now--$100.00 per couple, and $50.00 per single.  The club had about 300 more dancers sign in 2007/08 than we did in 2006/07.

It was encouraged for members to invite friends and relatives—even enemies—to attend lessons this year, which will start September 23, 2008, at 7:30 PM.  Although fliers and cards have been distributed in several places of interest, personal invitations, ads placed in the local “Reporter” newspapers.   It seems that  TLC works the very best in turning out new dancers.

October 25, 2008, is the West Side Wheelers final dance—everyone is urged to attend.

Reports from the Vice President, Secretary and Treasurer were dispensed with as none were in attendance.

Reports from Committees were as follows:

Audit:  (Given by Lonnie Sewell) Janet Wells had reported that the Audit had gone well, everything was in order, and The Treasurer, Vicki Thompson, had everything in good shape.  Vicki has promised a full Treasurers Report to be distributed at the next dance.

Calling Committee:  Nancy Costello reported that her committees were functioning great.

Caravans:  Nancy Costello reported that she was still working on details, but that most of the calendar was filled in.

Cookbook:  The Wagon Wheel’s Board asked Elaine and Don Little if it would be possible to produce another Cookbook.  Elaine and Don agreed to do and asked members to submit favorite recipes for publication later in the year.  They are in need of recipes from members who joined the club since the first Cookbook was published.   Don stated that this copy should be streamlined and more economically produced—hence, more profits.

Dream Weavers:  Lonnie reported that the Dream weavers had been in existence for five years.  The members of the Dream Weavers recently held a meeting to discuss where the Dream Weavers would go from here.  All agreed that they wanted to continue dancing.  The Dream Weavers continue to practice weekly and perform between 10 and 12 times a year at various venues.  Our next performance will be at the Puyallup Fair on September 21st.

Fire Works Stand:  Lonnie reported a profit of $5300 to finance the Club’s existence for the up coming year.  He was happy to report that the inventory was able to be sold down to a lesser amount.  Next years location is up in the air.  Will the International Market add on to their facilities as planned this next year?  We need to identify and secure another location for the Fireworks Stand.  Lonnie has turned the management reins, over into Donna Rohde’s capable hands.

Mystery Caravan:  Special thanks were extended to Jim & Janet Wells for a great job this last year—it wasn’t decided just who would be chairing this Committee in the coming year.

Roster/Phone BookThe Wagon Wheel’s Board asked Elaine and Don Little if it would be possible to produce the Wagon Wheel's directory in November this year.  Elaine and Don Little reported that they plan to get a copy out much earlier nd  will strive to get it out prior to November.

Web Site:  A round of applause was extended to Lonnie for the great and consistent job he has done for the Club to keep up the Web Site.

Photo and Archives:  Shirley Mattioda was not in attendance.

HostingSee Web Site and newsletter for the list.

Newsletter:  Donna Rohde has done a magnificent job this last year in publishing the Wagon Tracks—she enjoys it, and it shows!

Quartermaster:  Jon Swanson had nothing to report.

WWSDC Booth:  Decision on whether to have another booth in Ocean Shores has been tabled.  More information and discussion needs to gathered and weighed before a concrete decision can be made.  It seemed to be profitable ($600), but can’t really substitute for the profitability of the Fire Works Stand.

Sunshine:  Mae Stott will continue.

Old Business

Dance Schedule:  See list that was passed out at the meeting.

Roarin’ 20’s Dance:  The old dance theme has seemed to have run its course, and has ceased to be “fun” anymore, so it was decided to be replaced with a “Red Carpet Movie” theme—to be moved from May to February 21.  The time change was due to a date conflict with other Clubs for the use of the Grange Hall.

Sheriff:  It was decided to temporarily suspend this office.

New Business

Cuer Status:  The Cuer, Theresa, is under contract only until June 2009.  After that date, she and husband Roy may be making their home in Alaska.  According to plans voted upon, the Club was then to hire the next voted upon Round Dance Cuer, which was Neverdowski.  After a question was raised about the compatibility of sound systems with our caller, final decision was left for the coming year.

Further Discussion about Fundraisers:  Andy Garboden inquired if the Wagon Wheel’s had been asked to assist with the CPSC funding by working a concession stand at the U of W football games and if we had, what were our plans.  Lonnie Sewell stated that the Wagon Wheel’s had not been approached by the CPSC.

It appears that the CPSC is or was planning on staffing a concession stand at Husky Stadium.  The CPSC would receive a percentage (the amount of the percentage is unknown) of the profit that would be split with the club helping for that game.  It appeared to be the common belief of those in attendance that the percentage that the CPSC would receive was extremely small, especially considering that staffing the stand would be a 10-hour day and many of the customers were very rude.

Patti Fenstermacher reminded us that several years ago the Wagon Wheel’s ran a concession stands at the Kingdome and those who would volunteer for Husky Stadium no doubt would have to have “food handler’s permits” as we did at the Kingdome.

Lonnie Sewell indicated that if the Wagon Wheel’s were to be asked by the CPSC to work one of the Husky games, he would decline the offer.

There was a discussion about our continuing dilemma of financing the Club should the fireworks be outlawed in our area.  Several thoughts were entertained and discussed with out any resolution.  If anyone has a viable idea, please feel free to submit it to Lonnie.

A motion by Don Little to adjourn was seconded, and unanimously passed.

Respectfully Submitted by Connie Wills (in Secretary Carole Wolfe’s absence).
